Sci-fi, fantasy, comics, games and all that stuff

Vendor tables

OH!CON is mostly about talks, workshops and activities, but we do reserve some space for vendors. If you are a business or creative that would like a table at this year's event, you can apply using the form at the bottom of this page.

What you need to know before you apply

There are only a limited number of tables available. We will allocate these to the applications that in our opinion are the most suitable for OH!CON. In broad terms, we are looking for vendors with products that are:

  • strongly related to sci-fi, fantasy, comics, games or other similarly nerdy stuff.
  • suitable for a family audience.

We require all vendors to have public liability insurance. You will need to provide us with proof of this before the day.

There is a £10 charge per table which will go to our annual charity collection. This is non-refundable.

There will be limited footfall at the event (no more than 500 people). If you are planning to travel a distance to sell at OH!CON, please be aware that your sales may not cover your costs.

Terms and conditions

Make sure to read our terms and conditions below before applying. We know it's dull and no one likes to read a load of rules, but we want everyone, including you, to have a great time at OH!CON. Five minutes reading now will help  avoid any issues on the day.

OH!CON is organised by OH!CON CIC. By accepting a vendor table at OH!CON you agree to these terms and conditions. Failure to do so may result in you being removed from the event.

Fee

  • There is a £10 charge per table. This will be donated to our annual charity collection and is non-refundable.
  • We will collect the fee on the day. Please let us know if you will require a receipt.

Your responsibilities

  • Details given in your application for a table must be accurate. Our agreement to allocate you a table will be based upon the information you provide.
  • If you subsequently need to change any details of your application, you must let us know in advance of the event. You must receive our agreement in writing for any changes.
  • You may not transfer your table to another vendor. You may not sublet or share your table.
  • You agree to follow the directions of OH!CON representatives at the venue on the day.
  • You must have Public Liability Insurance. You must provide a copy of your insurance to us. You are responsible for ensuring that you have adequate, relevant insurance to cover all liabilities, including third-party claims, loss and damage to your property, cancellation and curtailment.
  • You are responsible for safety at your table. You must make sure your table is supervised at all times.
  • You are responsible for any damage or loss to the venue arising from your table, your property or your conduct.
  • You agree to assume full responsibility for any third party claim arising from your table, property or conduct. You agree to indemnify OH!CON CIC, our volunteers, representatives and agents against any such claims which arise.
  • In the event of OH!CON being postponed or abandoned for any reason whatsoever, or in the event of failure or curtailment of any supplies, services or facilities afforded to you as part of the event, you will not hold OH!CON CIC, our volunteers, representatives or agents responsible for any expenditure, loss, damage or liability sustained or incurred by you before, during or after the event.

Venue

  • We will provide you with a vendor pass for the day. This will allow you to access both venues free of charge. You should wear your pass whilst in either venue. Your vendor pass does not provide you with access to any of the OH!CON bookable activities. Please contact us in advance if you require an additional vendor pass.
  • There is no parking immediately adjacent to the venues. The nearest public car park is South Beach, approximately 2 minutes walk away. We are not able to provide any assistance to help you unload or load your goods and equipment to and from the venues.
  • We do not provide any sales infrastructure. You are responsible for arranging your own payment methods.
  • We do not provide wifi or other network connections. The venues have public wifi but we do not guarantee the availability or quality of the connection.
  • We do not provide refreshment or rest facilities for vendors.
  • First aid will be available on site.

Your table

  • You will have access to the venue from 8.30am on the day. You must complete set up of your table before the event starts at 10am.
  • Tables are approximately 70cm x 180cm. You may store items under the table or immediately behind it. You must not block any walkways nor encroach on neighbouring tables. Any banners or displays must not protrude beyond your table and the space immediately behind it.
  • Tables will be provided bare, so you may wish to bring your own table cloths or other table dressing.
  • We do not provide any backing behind tables. You must not attach anything to the walls of the venue.
  • We will provide a chair with each table. Please let us know in advance if you will require additional chairs.
  • Electrical power will only be provided by prior arrangement with us. We cannot guarantee that power will be available.
  • You are responsible for supervising your table at all times.
  • The event closes at 5pm. You must clear your table by 6pm and leave it tidy and free of any rubbish.

What you can have on your table

  • You can only promote, display or sell those products, services or activities that were included in your vendor application form. You cannot use your table for any other purpose (even in part). This includes, but is not limited to; collecting for charity; promoting other events, services or organisations; displaying, selling or distributing items not included in your application form.
  • OH!CON is a family-friendly event. Your products should be suitable for this audience. As a general guide, avoid anything overtly sexual, violent, or likely to cause offence or distress. If you trade at mainland comic cons, please keep this in mind - what is acceptable there may not be acceptable at OH!CON.
  • You may not sell or display any of the following: real weapons, counterfeit or bootleg products, food or drinks, OH!CON branded items, any item that would be considered illegal.
  • We reserve the right to to require you to remove any item from display and sale if in our sole opinion it is unsuitable, offensive, or otherwise incompatible with the aims of the event. This includes items listed on your vendor application form, so please describe them carefully to avoid any issues on the day.
  • If in doubt about a product’s suitability, please contact us in advance.
